Job description

Matakana Estate is the largest winery in the heart of Matakana, a hidden gem of a wine region, less than an hour's drive north of Auckland. Spanning 35 hectares of land, we produce award-winning boutique-style wines and also provide vineyard accommodation as well as venue spaces for our customers.

This position Office & Accounts Administrator has become available and is the ideal role for an experienced, calm individual who is able to take on a busy and key role in the company.

The hours of work are 40 hours per week Monday to Friday 9.00am to 5.30pm.

ESSENTIAL TASKS & DUTIES:

  • PA tasks for the CEO
  • Payroll
  • Bank reconciliation, creditor invoices
  • Reimbursing staff
  • Responding to employees’ enquiries especially on payroll, holidays & leaves
  • Creating and maintaining employee files & records
  • Liaising with HR consultants to create/maintain company policies (e.g. Health and Safety Policies etc.)
  • On-boarding new employees
  • Managing facilities and supply ordering
  • Filing annual return for all trading entities
  • Attending to all administrative requirements for overseas orders and assist with any export or import documentation as required
  • Organising trainings and meetings
  • Attending bi-weekly staff meetings, collecting agenda items prior to the meetings, and taking minutes
  • Liaising with cleaning staff to ensure the offices are kept well-organized, clean and tidy
  • Ensuring all bookings taken are documented, shared and any invoices issued
  • Billing and following up on outstanding debtors accounts
  • Book-keeping
  • Sending statements to customers at the first week of every month
  • Processing supplier invoices and any other bills
  • May be required to process payments
  • Recording cash receipts and making bank deposits
  • Maintaining the petty cash fund
  • Other supporting tasks required by the accountant

PERSONAL REQUIREMENTS

  • Knowledge of the accounting system Xero
  • Previous experience with payroll
  • Knowledge of administration policies, systems and procedures
  • Accurate with a very strong attention to details, and be able to multi-task
  • Good Microsoft Office skills
  • Very high accuracy in the recording and allocation of data
  • Mandarin speaking would be an advantage
